Welcome to the July issue of the Time & Data Management newsletter and Happy New Financial Year!

 

With our phones, BlackBerrys and laptops, working away from the office is a lot easier than it used to be. It can also make keeping track of your billable time a bit difficult. With one of the feature of Timeslips 2008, you can create a new slip from wherever you are via email. Read on for more information about this great feature.

 

Ever had that nagging feeling that there's some time or expenses on a particular project/matter that have somehow slipped through the cracks and have not been billed? The report we will highlight this month, Aged WIP (work in process), if printed or reviewed routinely will help you to keep track of those time and expense entries to ensure they get billed.

It's easy to extend the power of Timeslips employee time-tracking and management software to everyone in your office.

By adding network stations to Timeslips it gives each user in your office access to enter their own time. With the appropriate security settings, you can ensure they only have access to the areas of the program they need and that they have their own productivity reports to monitor their time and achieve their billing goals.

Timeslips 2008

 

Haven't upgraded to Timeslips 2008 yet? If you are still considering this upgrade, here is one of the features recently added to Timeslips that may help you make that decision.

Do you routinely have staff members out of the office that can't enter their time?

If they have access to email then they can use one of the features of Timeslips 2008 - Create Slips by Email. Simply send an email in the required format from any email capable device, including a handheld BlackBerry, and a new slip will be created in Timeslips.

Obsolescence Policy: Time & Data Management currently supports Timeslips by SAGE version 2005, 2006, 2007 & 2008 - Sage Software's Obsolescence Policy is to support the current Timeslips release and, in most cases two prior releases of a product. If you are using an obsolete version of Timeslips, we urge you to upgrade to the most current release in order to be eligible for support and to be compliant with new operating environments.


Making the Most of the Information Captured in Timeslips

 

Timeslips contains well over 100 reports, but which ones do you print, and what does the information you are reporting on mean?

This month we will explain the Aged WIP report.

The Aged WIP report captures all the time and expenses that have not yet been billed. It displays the totals in aging columns so you can see how old the entries are and you can see a breakdown of Fees v Expenses.

This is a key report to generate before and after your billing cycle to ensure you have billed all the Projects/Matters that you need to.

The Aged WIP report is also helpful in catching entries that may have the wrong date on them, or they have been placed on hold by mistake.

You can sort this report various ways, so if you have department managers, project managers or responsible solicitors you can easily sort and subtotal by a custom field captured at the client information level.

Training - Want to Learn more about Timeslips?

 

Remember that training in Timeslips can be conducted online via a secure connection to your PC.

The benefits of this are many - first, it's time effective and second, we're working with your data, so that you learn how to apply your new knowledge immediately and correctly.

Of course, we are also happy to come to your office for training if you would prefer.

Timeslips offers many great tools to help you become more productive and profitable, but only if you know how to use them!

Timeslips - Management Reporting (recommended training time 2 hours)

One of the most powerful features of Timeslips is its wide variety of standard reports. If your reporting needs go beyond the standard, Timeslips has a report designer program that is part of the application. You can create custom detail and summary reports. In addition, you have the ability to export data to other programs for more customised reporting. Crystal Reports (a third party product) allows you to gain access to the data in Timeslips to create custom reports and graphs.

  • Understand the 5 basic reports that all business need to print monthly

  • Learn how to use the Report Designer to create custom reports

This Month's Quick Tip

 

Abbreviations - Timeslips allows you to abbreviate frequently used words or standard phrases in the slip description or text fields, saving time and keeping your slips consistent and professional across the office. For example, say you frequently enter 'conference with client', you can abbreviate this to 'cwc' or even a number code. The abbreviation can be established on the database, so that each timekeeper uses the same code, and each entry is standardised. Personal abbreviations can also be created by timekeepers.
