Welcome to the March 2010 edition of our electronic
newsletter.
This month we have a special offer running for those

Feature Article -
Cleaning Up Your Database |
|
|
|
Timeslips has several features to help you maintain
a streamlined and up-do-date Client List. If you
don't have one already, develop an in-house procedure
where Clients who are no longer active get moved to
"Inactive" and then "Closed" after a set period of
time. Or they can be moved directly to "Closed" if
you know further work will never be performed.
Then after a set period of
time you can then Purge the Closed Clients from the
database.
Here are some procedures on how you can clean up
your database. |

Moving Clients from Open to Inactive or Closed |

1. |
Make
a backup of your database |
| |
|
|
| |
2. |
Print the Client Nickname listing report and review
it |
| |
|
|
| |
|

|

3. |
Once you have determined which clients can be moved
to "Inactive" or "Closed" you have the ability to
change their classification individually or in
groups. |

From the Client List click on the change
classification button (4th from the right) |

The
Change Classification interface will appear. Now
select from the drop down menu. Open to Inactive,
Open to Closed etc. |
|
|

5. |
Once
you have made your choice you can now select the
Clients to change. You can select one at a time or
tag multiple records. |

IF
the client has Unbilled Slips (a non-zero Accounts
Receivable) Timeslips will display a "Warning"
message. You should review the unbilled slips and
accounts receivable before proceeding.
N.B. Once the client is
moved to Inactive and/or Closed their data will no
longer be included in any reporting unless you
change the filter settings of your reports. |

Purging Clients |
|
|
|
|
1. |
After a certain period of
time you may find that you have Closed Client data
that can be completely removed from the database. In
order to do this you can Purge Closed Clients. |
|
|
|
|
2. |
Be sure to make a backup
of your database first and keep a copy of the
database prior to purge. |
|
|
|
|
3. |
Then go to File, Purge,
and select Closed Clients - you can then choose from
the drop down to purge All closed Clients or Select
Closed Clients |

By doing this the Client
data will be completely removed from your Timeslips
database and no longer available for reporting or
analysis. |

team at SAGE Software - Timeslips have
now confirmed that Timeslips version 2010 will run
successfully on the Windows 7 64-bit operating system.
Are you on the latest Service Release for your version of Timeslips?
You can check this by going to Help, About
Timeslips and verifying
the build number with the list below. If you are not on the latest
service release
let us know and we can assist you with downloading and
installation. |
